DIB & Volunteer Requirements
WHAT IS A DIB? // A DIB is a volunteer shift for working at a SWCYHA affiliated event.
Each registered family must fulfill 16 hours (DIBs) for the 2026-27 season. All 16 DIBs must be either “completed” or at least “claimed” prior to February 1, 2027 in order for skaters to still be eligible for play. If DIBs are not fulfilled or claimed, the registered family will be charged $50 per missed DIB in order for their skater(s) to remain eligible for practice and play for the remainder of the season. Cases will be individually reviewed by the SWCYHA Executive Board.
SWCYHA functions and is entirely run by volunteers who are essential in assisting in the full operation of the association and are necessary to run a non-profit, youth sports association. SWCYHA utilizes an online DIBs system, through Crossbar, to claim and track each member’s hours.
This year’s DIBS items will include (but are not limited to) the following:
HOURLY DIBS-
Concession Workers (Riverking & League Games)-2 hour shifts
Sportsman’s Banquet Workers-3-4 hour shifts
SWCRC/SWCYHA Approved Tasks-varies based on task and time
Trained Zamboni Drivers-half DIB per resurface (practices)
FIXED DIBS-
Approved Head & Assistant Coaches (Full DIBS)
Concession Managers (Full DIBS)
Cultural Education Liaison (Full DIBS)
DIBs Coordinator (Full DIBS)
Equipment Rental Coordinator (Full DIBS)
Event Coordinators/Leads (6-16 DIBS)
Registrar (Full DIBS)
Safety Coordinator (8 DIBS)
Schedulers (Full DIBS)
Team Managers (Full DIBS)
GameSheets Coordinator (Full DIBS)
The “Hourly DIBs”, as stated above, have a credit value loaded into SportsEngine. The credit value will define the hours expected to work for that specific event and those credits will apply directly to the 16 total hours needed for the season. DIB “items” are on a first-come, first-served basis. Changes or additions to the system will be communicated to members as soon as possible.
When signing up for a shift, be on time and stay until everything for that shift is completed.
DIB BUYOUT OPTION // Although discouraged, SWCYHA offers a DIB buyout option. For the 2026-27 season, full buyout is available for the amount of $800. That payment is due at the beginning of the season and is granted only upon successful processing of the payment.
CONCESSION WORKERS (RIVERKING & LEAGUE)
Concession DIBs are one of the largest DIB items, at over 300 hours available for members to claim during the season. One (2 hour) DIB shift is available for each home weekend league game. Several DIB shifts are available for Riverking games. “Concession Workers DIBs Sign-In Sheet” completion is required for all concession workers.
TRAINED CONCESSION WORKERS // SWCYHA compiles a list of trained workers who may fulfill a family’s concession time.
- The association member must claim the DIB online under their own account in order for the DIB to count toward that family's hours.
- The association member must contact and confirm the time and date with the worker.
- If the worker does not show up for a shift, it is the association member's responsibility to find another trained worker or work the shift.
- Any minor aged individual will require a completed SWCYHA “Parent/Guardian Consent Form”.
- Contact information on the list of workers shall not be shared with those outside the association.
SPORTSMAN’S BANQUET WORKERS
SWCYHA hosts an annual banquet that requires approximately 70 DIB hours to be successful. As an all day event, these DIB shifts include but are not limited to: raffle tables, ticket organization, registration, door prize runner and more.
SWCRC/SWCYHA APPROVED TASKS
Must have approval prior to doing the task by the SWCYHA Board of Directors.
On occasion, the SWCRC Rink Manager will need volunteers to complete various tasks at the rink.
TRAINED ZAMBONI DRIVERS
Zamboni drivers complete resurfacing of the ice after practices, prior to home games and after the last weekend ice session (if applicable). A log sheet is located in the Zamboni room to sign and log any issues. This will not be utilized to log DIBs. To claim a DIB for a resurfacing session claim it in the online DIBS sign-up and sign-in when completed on the log sheet on our SWCYHA Bulletin Board. SWCYHA and SWCRC will work to train candidates and reserve the right to decide who can operate the machine.
COACHES & TEAM MANAGERS
Head Coach (one (1) per team, full DIBs), Assistant Coach(es) (full DIBs, with a maximum of two (2) per team), and Team Managers (full DIBs, with a maximum of one (1) per team)
VOLUNTEER CRITERIA
USA Hockey SafeSport policies allow SWCYHA to ensure a safe and positive environment. All volunteers, designated locker room supervisors, coaches, managers, and board members must complete the SafeSport Certification. Training must be completed before a person begins having regular contact with minor athletes, or if they do not have regular contact with minors, no more than 45 days after beginning the role that requires them to complete training. Anyone with regular contact with players must complete the following:
- SafeSport Program as required by USA Hockey
- Background check as required by USA Hockey
- Notify the SWCYHA Registrar of completed components
